hosting handbook
host guidelines
Use this as the practical standard for a clear, safe meetup. It supplements, rather than replaces, the Terms of Use.
Start with a clear listing
- Use a specific title, accurate date and timezone, broad city, realistic capacity, and a plain-language description of what will happen.
- Use the event cover to set expectations, not to obscure them. Include accessibility, cost, age, and venue requirements when relevant.
- For recurring events, create a series only when the cadence is genuinely reliable. Update or end the series when the schedule changes.
Respect location and link privacy
- Keep the public listing broad. Do not publish a private residence, access code, or restricted online link in public fields.
- Use RSVP-gated private details only for information attendees need after they confirm.
- For online events, you may make a link public when appropriate. If the link is not ready yet, say where and when it will be posted instead of publishing a placeholder.
Run RSVPs responsibly
- Set a capacity when the venue or format has a hard limit. Leave it blank only when attendance is genuinely unlimited.
- Use the waitlist rather than overbooking. Promoted attendees should receive a clear confirmation.
- Cancel or update as soon as plans change. Give RSVPed attendees enough context to decide what to do next.
Use co-hosts and check-in with care
- Add co-hosts only when they are actively helping run the event. The original host remains responsible for the listing and host team.
- Check-in is optional. Tell attendees if you plan to log attendance and use it only for the advertised passport and recap features.
- Do not use attendee lists or wallet information for unsolicited outreach, harassment, targeting, or sale to third parties.
Set a good room standard
- Welcome attendees without discrimination, harassment, intimidation, or pressure to transact, disclose private information, or consume anything.
- Follow venue rules and local law. Have a simple escalation plan for safety concerns and contact local emergency services in an emergency.
- Do not present MonkeMeetups, Saga Monkes, or other attendees as sponsors or endorsers unless you have permission.
Need to change plans?
Use the host workspace to update logistics, export the roster where appropriate, communicate an attendee update, or cancel the event. Cancellation removes the listing from discovery after the publication workflow completes. If the event needs a materially different date, venue, or format, create a new listing rather than leaving attendees with an inaccurate one.
